The Internet has brought with it new advances in technology that has changed the way things are done today. The business meeting is one prime example of an industry aspect that has experienced the most change. With the cost of travel and hotel accommodations these days, companies are expressing their concerns over the budget for offsite meetings. To help solve the issue, a new technological method is introduced and web conferencing companies are quickly gaining momentum in their service offers.

What web conferencing companies offer is more than just an application to reduce the cost of business travel. Since the software these web conferencing companies offer allows companies to conduct business meetings on a wholly Internet-based environment, the technology is therefore becoming a more cost-effective replacement to offsite meetings.

Web conferencing companies allow companies to remain in communication and maintain collaboration with their corporate departments despite the perceived distance and the differences in location. In so doing, web conferencing companies are in effect helping businesses keep their processes as smooth as possible and maintain the productivity levels of their workforce without having to spend too much of the corporate budget.

The Nature of the Service

Often, web conferencing companies offer conference via web as a service. This means that they will charge you on either a per usage basis or a per seat per month basis. Per usage means that the web conferencing companies will charge you for the time you spend using their server in order to conduct your meeting. The web conferencing companies will be in charge of arranging everything for you, including scheduling and announcement, and all you really have to do, on the day of the meeting itself, is to click on a button that would automatically allow instant access to the web conference room.

On the other hand, pay per seat per month means you’ll be paying for the entire service which the web conferencing companies offer for the entire month, regardless of the minutes you spend on the web conference room. Payment is calculated by the number of people attending the conference (“seat”). Often, web conferencing companies set a minimum number of seas in order for you to get this type of pricing model. For instance, you can only get a pay per seat per month pricing package if you have at least ten to fifteen people attending your conference every month.

Besides the two pricing models mentioned above, web conferencing companies may also charge you differently. They may offer you the service in the form of a licensed software package. To use, you will need to register with the web conferencing companies who will be responsible for hosting the web server on which you will be conducting your online meetings.
